How do I decline client inquiries?​​​

With simplicity and clarity.

You are under no obligation to say yes to every prospect who comes your way.

Here's a script you can use the next time you need to decline:

"Thank you so much for reaching out and considering our firm for accounting services. You deserve a high level of service, and right now, we are not accepting new clients. We wish you all the best in your business – and thank you again for thinking of us."

A few variations, depending on your situation:

▸ At full capacity indefinitely:

"Unfortunately, we are not able to take on new clients at this time."

▸ At capacity through tax season:

"We are not accepting new clients until May 1st." or "We've made the difficult decision to pause new client onboarding through May 1st."

▸ Outside your niche:

"We focus on a specific industry, and we don't believe we'd be the right fit for you at this time." or "We've made the difficult decision to only accept clients within our area of expertise."

▸ If you feel like you need a reason (you don't – but here's one if it helps):

"Due to the significant shifts in the tax landscape over the last few years, we are not accepting new clients at this time."

Here's the truth: if you take on a client you don't have capacity for – or don't want to work with – they will suffer. And so will you.

Saying no with clarity is better for your firm. And it's better for the prospect.
